Kajabi Zapier: Connect, Schedule and Automate Tasks

kajabi: getting started Oct 24, 2025

I'm going to walk you through setting up Kajabi and Zapier together so you can automate your workflows and save time on repetitive tasks. This integration allows you to connect Kajabi with other tools you're using through an API connection, making it possible to automatically trigger actions based on what happens in your Kajabi account.

The process involves linking your Kajabi account to Zapier using API credentials, then creating automated workflows called Zaps that run in the background. For example, when someone fills out a form on your site, you can automatically capture their details in a spreadsheet without manual data entry. I'll show you exactly where to find your API credentials in Kajabi, how to connect everything in Zapier, and how to build your first automation from scratch or using templates.

Key Takeaways

  • You connect Kajabi to Zapier using API credentials found in your Kajabi account settings under API credentials
  • Zaps automate tasks between Kajabi and other tools by setting up triggers and actions that run automatically
  • Common automations include capturing form submissions to spreadsheets or syncing data between Kajabi and third-party services

Preparing Your Kajabi and Zapier Accounts

Navigating Kajabi Settings

I'm going to show you where to find the necessary components inside your Kajabi account. First, you need to go into your settings area.

From there, scroll down until you locate your site settings and integrations and web hooks section. Under miscellaneous, you'll find the option to connect into Zapier. When you click on it, you'll see a brief overview of what Zapier is.

To access your API credentials:

  1. Click on settings in your Kajabi account
  2. Navigate to account settings (not payment settings or site settings)
  3. Open account details
  4. Scroll all the way down to API credentials

You'll see two important codes here:

  • API key
  • API secret

These are the two codes you need to connect your accounts. I'm going to use these in the next step to link Kajabi with Zapier.

Accessing Zapier Platform

Once you click sign up for Zapier from within your Kajabi account, it will take you straight through to the platform. I used my Google login to access my Zapier account.

The first thing you want to do with a brand new Zapier account is go into app connections. This is where you connect your Kajabi account via the API.

Click on add connection and search for Kajabi. It will be in their database. Click add connection and a window will pop out asking you to allow Zapier to access your Kajabi account.

Connection process:

  1. Copy the API key from your Kajabi account
  2. Paste it into the first field in the Zapier pop-out window
  3. Copy the API secret from your Kajabi account
  4. Paste it into the second field
  5. Hit yes and continue

This links up your Kajabi account to your Zapier account. If you go back into app connections, you'll see your Kajabi account listed as a new connection. Your Kajabi can actually talk to Zapier now via the API.

Zapier is the go-to automation tool for Kajabi. You can either start a Zap from scratch by clicking on Zap, or you can use some of the templates available by browsing all templates.

Connecting Kajabi to Zapier via API

Generating and Locating API Credentials

I'm going to show you where to find your API credentials inside Kajabi. First, go into your Settings area within your Kajabi account.

You need to navigate to Account Settings, not payment settings or site settings. Click on Account Details to expand that section.

Scroll all the way down until you see API Credentials. You'll find two pieces of information here: the API Key and the API Secret.

These are the two codes you need to connect Kajabi to Zapier. Keep this window open or have these credentials ready to copy.

Adding a Kajabi Connection in Zapier

Inside your Zapier account, go to App Connections. This is where you'll link your Kajabi account via the API.

Click on Add Connection and search for Kajabi in the database. Once it appears, click Add Connection.

A window will pop out asking you to allow Zapier to access your Kajabi account. You'll see two fields:

  • API Key
  • API Secret

Go back to your Kajabi account settings and copy the API Key first. Paste it into the first field in Zapier. Then copy the API Secret and paste it into the second field.

Once both credentials are entered, click Yes and Continue. This will link your Kajabi account to your Zapier account.

If you go back into your connections, you'll see your Kajabi account listed as a new connection. Your two platforms can now talk to each other via the API, and you're ready to start creating Zaps.

Automating Workflows with Zaps

Choosing and Customizing Triggers

I'm going to start by creating a Zap from scratch. When you click on "Zap" in Zapier, you can either build one yourself or use existing templates from the platform.

The first step is selecting your trigger. For this example, I want to use a Kajabi form as my trigger. I click on "trigger" and then select Kajabi as the app.

The trigger event I choose is "new form submission." This is a common trigger that activates whenever someone completes a form on your site.

After selecting the trigger event, I need to connect it to my Kajabi account that's already linked through the API. If you have multiple Kajabi accounts, you'll see them listed here to choose from.

Next, I choose the specific site and form. If you have multiple sites or forms, you must specify which one you want to monitor. I select my main site and then choose my contact form from the dropdown menu.

Setting Up Actions with External Tools

Once the trigger is configured, I move to the action step. This is where I define what happens after the trigger fires.

If I want to capture form submission details in a spreadsheet, I add Google Sheets as the action app. The event action would be something like "create sheet properties."

I then select the Google account I want to use. Note that you may need to link your Google account to Zapier if you haven't already done so.

Here are some other integration possibilities:

  • Third-party email services for managing subscriber lists
  • Database tools for storing customer information
  • Payment providers for tracking transactions
  • Project management tools for creating tasks or tickets

The platform shows various workflow templates you can browse. These include sales pipelines, lead management systems, and ticket tracking. You can click "use this workflow" on any template to implement it immediately.

Utilizing Zapier Copilot

Zapier has an AI feature called Copilot that's currently in beta. This tool helps you build Zaps by describing what you want to accomplish.

You can simply tell Copilot what you're trying to do. For example, I could type: "I'm looking to capture details from a Kajabi form submission and then populate a Google sheet or a Google doc. What would you recommend?"

Copilot will then respond with step-by-step instructions. It breaks down the process by telling you the first step, second step, and how to build everything out.

This feature makes it quick to build out your Zaps without manually configuring each element. You describe your goal in plain language, and Copilot structures the workflow for you.

Practical Examples of Kajabi and Zapier Integration

Capturing Form Submissions

I'm going to start a Zap from scratch to show you how this works. When you click on trigger, you'll select Kajabi as your platform and then choose "new form submission" as your trigger event.

After selecting your trigger, you need to link the account that's connected to Zapier. If you have multiple Kajabi accounts, you can choose the relevant one from the list.

The next step requires you to choose your specific site and form. If you run multiple sites or have several forms, you'll need to select which site and which form you want to monitor. I select my main site and then choose my contact form.

Once somebody visits my homepage, goes to my contact form, and fills it out, this trigger will activate. The Zap will capture the details from that form submission automatically in the background.

Populating Data into Google Sheets

After setting up the form submission trigger, I move to the action step. This is where I tell Zapier what to do with the captured information.

I select Google Sheets as the action app. Then I choose "create sheet properties" as the event action. You'll need to link your Google account to Zapier if you haven't already done so.

You can select which Google account to use from your connected accounts. The setup process is quick and straightforward.

If you want assistance building your Zap, you can use Copilot. You would tell it something like "I'm looking to capture details from a Kajabi form submission and then populate a Google sheet or a Google doc." The AI will recommend your first step, second step, and how to build out the complete automation.

Conclusion

You can start building your Zaps from scratch or use the pre-made templates available in Zapier. The templates section shows various workflow ideas including sales pipelines, lead management, tickets and incidents, and project management options.

Creating a Zap from Scratch

When you click on "Zap" from the home screen, you can begin setting up your automation. Zapier now includes an AI feature called Copilot, currently in beta, which lets you describe what you want to accomplish and helps build the workflow.

For example, if you want to capture form submission details from Kajabi into a spreadsheet, you would set up the following:

  1. Select Kajabi as your trigger
  2. Choose New Form Submission as the trigger event
  3. Select your connected Kajabi account
  4. Choose your specific site and form

Once you configure the trigger, you add an action step. If you're using Google Sheets, you would:

  • Add Google Sheets as the action
  • Select Create Sheet Properties as the event action
  • Connect your Google account

This setup means whenever someone fills out your contact form on your homepage, their details automatically populate in your designated spreadsheet.

Using Copilot

You can also chat with Copilot to describe your automation needs. For instance, you could ask how to capture details from a Kajabi form submission and populate a Google sheet. The AI will then outline the steps needed to build your Zap.
