Kajabi V Systeme.io: The Main Challenges and Opportunities

kajabi: getting started Oct 26, 2025

I've spent years working with online business platforms, and I understand the challenge of choosing between System.io and Kajabi. Both platforms position themselves as all-in-one solutions, but they serve different needs and business stages. I'm a Kajabi user myself since 2018, and I want to walk you through the key differences to help you make an informed decision.

The fundamental distinction comes down to where you are in your business journey. System.io offers a free plan and lower entry costs, making it attractive for those just starting out. Kajabi, on the other hand, starts at a higher price point but delivers more advanced features and a premium experience. I'll break down the pricing structures, feature sets, design capabilities, and support options so you can determine which platform aligns with your current business needs and growth goals.

Key Takeaways

  • System.io offers a free plan and unlimited features at lower prices, making it suitable for beginners with limited budgets
  • Kajabi provides more advanced tools, premium design templates, and superior support but requires a higher financial investment starting at $71-$89 monthly
  • Your choice should depend on your current business stage, contact list size, and whether you need immediate scalability or can start small and migrate later

Platform Purpose and Ideal Users

Business Stages Addressed

Systeme.io is positioned for users just starting out in their online business. If you are brand new to online business and want to cut your teeth with new software, then systeme.io could be the one for you. The platform offers a free plan, which is fantastic if you are just starting out brand new to online business.

Kajabi is positioned differently. If you already have an online business or if you already have a business that's creating revenue, generating monthly income, then Kajabi might be a good fit for you if you are looking for that premium product.

The fundamental difference comes down to where you are on your entrepreneurial journey. The ideal thing to do is to go down the feature lists and try and identify where you're at and the functionalities that your business needs right now.

Decision Framework:

  • Starting out with no revenue: Systeme.io provides entry point with free plan
  • Existing business with revenue: Kajabi offers premium features for established operations
  • Capital considerations: Monthly vs annual billing affects upfront investment

If you have big plans for your online business and you want to get serious from the get-go, then it might be worth your saving time and energy just starting on Kajabi if that's where you want to end up.

User Suitability Analysis

Systeme.io is suitable for:

  • Users with limited upfront capital
  • Businesses with contact lists under 2,000 (on free plan)
  • Those who need migration support from existing platforms
  • Users seeking unlimited features at $99/month (unlimited plan)

The free migration support is really interesting and this could be the decision maker. If you're on the fence about Kajabi and Systeme.io, this could be the reason why you go with this platform. They do that all for you.

Kajabi is suitable for:

  • Users who prioritize premium look and feel
  • Businesses requiring advanced segmentation and automation
  • Those with larger contact lists (250+ on kickstart, 2,500+ on basic)
  • Users who value comprehensive support functions

I have been using this platform since 2018 because it fits my business requirements. What I like about Kajabi is its look and its feel and its usability and some of the support functions that you get with Kajabi. The chat function is second to none. I have never got stuck for any length of time within this platform.

If you have an audience already, the contact limits might be the showstopper for you. You have to actually go up to basic to get 2,500 contacts and then up to growth to get 25,000 contacts on Kajabi.

The segmentation capabilities matter for advanced users. I don't really use any tags in this system. I use segmentation. It is almost limitless on what tags and triggers and automations you want to set up within Kajabi.

Feature Comparison Overview

Core Functionality Breakdown

Both platforms position themselves as all-in-one solutions for online businesses. System.io markets itself as "the easiest all-in-one marketing platform for your online business," while Kajabi is known as "the all-in-one creator platform to build your online business."

System.io features include:

  • Website builder
  • Business automation
  • Sales funnels
  • Email marketing
  • Affiliate management
  • Online courses
  • Physical products
  • Evergreen webinars
  • Booking calendar
  • Sub accounts
  • Pipelines
  • Communities

Kajabi offers similar features plus:

  • Courses
  • Coaching
  • Podcasting
  • Branded mobile app

Kajabi is more advanced and serves as a premium product. The platform comes from a courseware background, and the courses have a premium look and feel compared to other options.

The Kajabi builder allows for website customization with website pages that include customized headers, footers, and themes. Using website themes creates a more congruent look and feel across your entire site.

Email functionality in Kajabi includes:

  • Broadcast emails (time-sensitive)
  • Sequence emails (trigger-based)
  • Pre-built templates
  • Custom template saving
  • Advanced segmentation filters

The segmentation options include filters for customer status, activity in the last 90 days, email delivery history, form submissions, product ownership, and offer status. I use segmentation instead of tags in this system.

Unique Tools and Capabilities

System.io provides free migration support through their customer support. If you're transferring your account from an already existing website, they do the migration for you. Kajabi does not offer this service, and you have to migrate everything over yourself.

The Kajabi chat function is second to none. I have never gotten stuck for any length of time within this platform and can keep moving on and learning.

Kajabi's course presentation delivers a premium look and feel. When you go into lessons, the layout appears more polished compared to some other options. The platform maintains this premium aesthetic across landing pages, email templates, and course pages.

For coaching, I can send out a link to someone and set up a coaching program entirely within the Kajabi setup. The platform also includes community, podcast, newsletters, and downloads functionality.

Everything on my website is built with Kajabi, including the homepage, about page, and blog page. The builder provides a premium look and feel throughout.

Pricing Structures and Plan Options

Entry-Level Access

Systeme.io offers a free plan that allows you to start without any upfront cost. This free tier includes 2,000 contacts, unlimited emails, unlimited email campaigns, and one newsletter.

Both platforms provide monthly and annual billing options. With annual billing, you save two months for free, which is common for software as a service platforms and equates to about 20% off.

On systeme.io, the pricing structure displays the full annual amount you'll be billed upfront. The plans are organized as Premium (free), Startup, Webinar, and Unlimited. The Unlimited plan stands out because you get unlimited everything across all features for $99 per month when billed annually.

Kajabi does not have a free version. They offer a 14-day free trial, but after that, you start paying monthly. The lowest tier is Kickstart at $89 per month on monthly billing, or $71 per month when billed annually.

Kajabi's monthly pricing can be changed to annual billing to get 20% off. Kajabi still lists the monthly prices even on annual plans, but you get billed once for the entire year. If you don't have much capital upfront, you can start on monthly billing and change to annual later.

Premium Tier Value

The systeme.io Unlimited plan provides unlimited contacts, unlimited emails, unlimited courses, and unlimited everything across the platform. This represents significant value for any online business at that price point.

Kajabi's pricing tiers are Kickstart, Basic, and Growth. At the Kickstart level ($89 monthly or $71 annually), you get 250 contacts. If you already have an audience, this contact limit might be a showstopper. You need to move up to Basic to get 2,500 contacts, and Growth gives you 25,000 contacts.

The ideal approach is to go down these lists and identify where you are in your entrepreneurial journey and what functionalities your business needs right now. If you don't need too much, systeme.io might be where you start. If you have big plans for your online business and want to get serious from the get-go, it might be worth saving time and energy just starting on Kajabi if that's where you want to end up.

Systeme.io offers free migration support as part of their customer support. If you're transferring your account over from an already existing website, they will migrate everything for you. Kajabi doesn't offer that in their customer support package, and you have to migrate everything over yourself.

This free migration support could be the decision maker if you're on the fence between Kajabi and systeme.io. Where you are on your entrepreneurial journey absolutely determines which pricing structure makes sense for your business.

Scalability and Growth Potential

Contact Limits and Expansion

System.io offers a free plan with 2,000 contacts and unlimited emails. The contact limits scale up through their paid tiers, with the Unlimited plan offering unlimited contacts for $99 per month when billed annually.

Kajabi's contact limits start at 250 contacts on the Kickstart plan at $89 per month. The Basic plan includes 2,500 contacts, and the Growth plan provides 25,000 contacts. This structure depends entirely on where you are in your entrepreneurial journey.

The ideal approach is to go down these lists and identify where you're at and the functionalities your business needs right now. Migration Support Considerations

System.io offers free migration support as part of their customer support. If you already have stuff built out on another platform, they do that all for you. This is a really interesting feature that could be the decision maker if you're on the fence about Kajabi and System.io.

Kajabi doesn't offer free migration support in terms of their customer support. You have to migrate everything over yourself if you're transferring from an already existing website.

This free migration support from System.io could be the reason why you go with this platform, particularly if you're transferring your account over from an already existing website.

Design Flexibility and Customization

User Interface Experience

I want to show you what I like about Kajabi's look, feel, and usability. The platform has everything organized down the left-hand side for easy navigation.

Kajabi comes from a courseware background. The courses you get are second to none in terms of their look and feel. If I go into one of my programs, like Kajabi Unboxed (the program I offer for free for anyone using my link), you can see the premium look and layout.

This is my welcome section. When you go into any of these lessons, it has a quite premium look and feel compared to some of the other options out there.

In the coaching section, I have a number of online programs. I can send out a link to someone and set up a coaching program entirely within the Kajabi setup. The platform also includes:

Website and Landing Page Flexibility

Another great thing I love about Kajabi is the builder. If I go to customize any of my landing pages, I can access my website pages through a dropdown menu for each page.

Website Pages Benefits:

Feature

Description

Customization

Customizes header and footer automatically

Themes

Creates consistent theme across pages

Congruency

More website themes = more congruent look and feel

Everything you see on my site is built with Kajabi. My homepage, about page, and blog page are all built with the Kajabi builder. It has a quite nice look and feel and it's quite a premium look and feel as well.

Email Campaign Builder:

When I go into email campaigns and start a new email campaign, I can create a test broadcast. I click into email and continue. You can either send out a broadcast or a sequence. A sequence is trigger-based and a broadcast is time-sensitive based.

They have fantastic templates for:

  • Courses
  • Landing pages
  • Email templates

Kajabi gives that amazing look and feel. It looks premium and it is premium. You can also save custom templates. I have a weekly template here that I can select, click get started, and use as a test.

The great thing about this is the segmentation. I can have a custom segment and select any of these filters. I don't really use tags in this system. I use segmentation. I can see:

  • If people are a customer
  • Activities in the last 90 days
  • If I've delivered an email to them in the last 90 days
  • If they've submitted any forms
  • If they own any products
  • If they have any offers

It is almost limitless on what tags, triggers, and automations you want to set up. If my filter is submitted any of these forms, I click on any of these forms and apply. This gives me a list of contacts that have applied through that method, then I can reach out to them with that certain segmentation applied.

Marketing and Automation Tools

Email Segmentation and Campaigns

I want to show you the email settings in Kajabi because the segmentation capabilities are quite powerful. When I go into email campaigns and start a new email campaign, I can choose between two options: a broadcast or a sequence. A broadcast is time-sensitive based, while a sequence is trigger-based.

The platform provides fantastic templates for emails, just like it does for courses and landing pages. I can also save custom templates for future use. I have a weekly template saved that I use regularly.

The real strength here is the segmentation functionality. I can create a custom segment and select from various filters. I don't really use tags in this system because I rely on segmentation instead.

Here are the filters I can apply:

  • Customer status
  • Activities in the last 90 days
  • Email delivery history in the last 90 days
  • Form submissions
  • Product ownership
  • Offer ownership

It is almost limitless on what tags, triggers, and automations I can set up. For example, if my filter is set to "submitted any of these forms," I can click on specific forms and then apply that filter. This gives me a list of contacts that have applied through that particular method, and then I can reach out to them with that specific segmentation applied.

Workflow Automation Possibilities

Kajabi's automation options are extensive through its segmentation and filtering system. The platform allows me to build automated workflows based on customer behavior and engagement patterns.

I can trigger emails based on whether someone is a customer, their recent activity, or if they own specific products or offers. The automation setup works through the combination of filters and triggers that I mentioned earlier.

The platform also supports both broadcast and sequence-based email campaigns, which means I can set up time-sensitive communications or behavior-triggered sequences. This flexibility lets me create automated customer journeys based on how contacts interact with my forms, products, and offers.

Support and Community Resources

Customer Assistance Quality

The chat function in Kajabi is second to none. I have never got stuck for any length of time within this platform and I can keep moving on and learning.

I'm constantly learning within this platform but it has everything down the left hand side. The support allows me to maintain momentum without significant delays.

System.io offers free migration support if you're transferring your account over from an already existing website. Kajabi doesn't offer that in terms of their customer support. You have to migrate everything over.

If you already have stuff built out, System.io provides this free migration support. This could be the decision maker if you're on the fence about Kajabi and System.io.

Bonus Offers and Extended Trials

Kajabi offers a 14-day free trial but doesn't have a free version. After that trial period, you are paying monthly starting at the lowest kickstart of $89 a month.

System.io has a free plan which is fantastic if you are just starting out brand new to online business and you want to cut your teeth with new software. Under the free plan, you get:

Both platforms offer annual billing options with savings. When you switch from monthly billing to annual billing, you will save 2 months for free. This is quite common for software as a service with this annual 20% off.

Kajabi still lists the monthly prices even with annual billing. You will get billed in one go for the entire year but it just equates to 20% off on a monthly basis.

System.io showcases the full amount that you're going to get billed when viewing annual plans. If you don't have that much capital upfront, then you can start on the monthly and always change down the line.

I offer Kajabi Unboxed for free for anyone using my link. This is a program I provide to help users get started with the platform.

Decision Factors and Recommendations

I need to address where you are in your entrepreneurial journey when choosing between these platforms. If you're just starting out in your online business, then systeme.io may be something you could be interested in. If you already have an online business or if you already have a business that's creating revenue, generating monthly income, then Kajabi might be a good fit for you if you are looking for that premium product.

The biggest thing that jumps out to me with systeme.io is the unlimited plan. You get unlimited everything. That is a fantastic value for any online platform.

Pricing Comparison

Both platforms offer monthly and annual billing options. With annual billing, you save 2 months for free, which equates to 20% off. This is quite common for software as a service.

Contact Limits

The 250 contacts on Kajabi's kickstart plan might be the showstopper for you if you already have an audience. You have to actually go up to basic to get 2,500 contacts and then up to growth to get 25,000 contacts. This absolutely depends where you are on your entrepreneurial journey.

With systeme.io's free plan, you get 2,000 contacts, unlimited emails, and email campaigns.

Migration Support

If you're transferring your account over from an already existing website, systeme.io offers free migration support. Kajabi don't offer that in terms of their customer support. You have to migrate everything over. This could be the decision maker if you're on the fence about Kajabi and systeme.io.

What You Need to Consider

The ideal thing to do is to go down these lists and try and identify where you're at and the functionalities that your business needs right now. If you don't need too much, then systeme.io might be where you start.

But if you have big plans for your online business and you want to get serious from the get-go, then it might be worth your saving time and energy just starting on Kajabi, if that's where you want to end up.

I am a Kajabi user and I've been using this platform since 2018 because it fits my business requirements.
